How to add new employees to your wellbeing Hub
We know that getting employees into the Wellbeing Hub quickly and easily is a top priority. That’s why we created the Easy Invite feature—to streamline the process, cut out manual work, and help you drive engagement. With just a few clicks, you can invite one user, or your entire team, ensuring they get access to wellbeing resources right away. More time for you, more impact for them. Let’s get started!

1. Getting Started
Quick Note: To ensure invite deliverability, make sure your IT team has whitelisted On The Goga emails.
Follow these steps to access the Easy Invite feature:
Log in to your On the Goga account here.
Open the Menu in the top-right corner of your Hub.
Select Admin Settings from the dropdown.
You’ll land on the User Management Page.
Click “Invite New Users” to get started!
2. Preparing your invitation list
Create a CSV file (Excel or Google Sheets) with employees’ first name, last name, and email using this template.
📌 Important: The column titles must remain exactly as shown—any changes will prevent the upload from working.Before uploading, save your file as a .CSV file type.
3. Uploading your Invitation list
Once your file is ready, adding it to the Hub is easy:
Option 1: Drag and drop your CSV file.
Option 2: Click "Browse Files" to select the correct file from your computer.
4. Reviewing & Sending Invitations
After uploading, you’ll see a Review Screen with the following details:
📂 File Name – Confirms the correct file was uploaded.
🚩 Errors Found – Highlights any issues (with a link to an error log, if applicable).
✅ Successful Uploads – Displays the number of users ready to invite
COMMON errors
The error log is designed to help you see if there are any missing or duplicate fields in your invitation list. Here are a few common errors and what to do about them:
Missing value for required fields
This indicates that a line of your file is missing a name or email field, you’ll want to correct this and re-upload your file
Duplicate user with email in the file
This indicates that you have two lines in your file with the same email. This likely means you added one person twice. You can safely ignore this because the system will ignore the duplicate
User with email ____ has already been invited
This indicates that you’re trying to invite someone who has already been invited. You can safely ignore this because the system will not re-invite these users.
Next Steps:
Cancel Upload – Click this to cancel your upload and return to the previous screen so that you can fix your file.
Invite Users – Click this to send out invitations and get your team connected! 🎉
5. Users Have Been Invited! What’s Next?
Once your invitations are sent, employees will receive a series of 3 emails encouraging and reminding them to activate their accounts over 10 days.
You can now view all invited users on your User Management Page
Once they sign up for an account, the “User Since” column will update from Invited to their join date
